Smarter Use of Your Smartphone When Outsourcing

It’s probably no surprise to you that the whole world is migrating towards smartphones.  Whether you use an iPhone, a BlackBerry or an Android-powered phone, these things are powerful mini computers that we carry around with us everywhere.

In developed countries, they are VERY common.  You probably have one.  Or at least you should have one.  Especially if you are outsourcing.

On the other hand, I find that most of the people who work for me in the Philippines, or elsewhere, may not have smartphones. That’s fine. One of my key strategies doesn’t rely on them having one.

If you are like me, you’re always thinking about ways to improve your business.  That’s your job as the CEO of right?  Think of ideas, and get other people to help you implement them as much as possible so that you can focus on what comes next.

I carry my phone with me everywhere.  It’s great for email.  But what really ROCKS is the capability to record voice memos and instantly email them to my employees.

Just this past weekend, for example, I was at my daughter’s swimming lessons watching her learn to swim.  An idea struck me.  In this particular case it was an idea to improve the way we write content for our niche websites.  I knew it would be WAY easier to communicate the idea using a voice memo rather than type it into an email.

I fired up the voice memo app (built-in on my BlackBerry), and made a 60 second recording.  I sent it off to the one girl on my team who leads most of our writing projects.  She got the voice memo and started incorporating the idea into her writing projects immediately.

If I didn’t use a voice memo from my smartphone, I would have had to either:

  • Type the idea into an email (takes too long)
  • Try to remember the idea for later (too risky)
  • Do nothing at all (absolutely the WORST)

Voice memos are absolutely an awesome and powerful force for outsourcing.  Android, BlackBerry and iPhone all have built-in voice memo apps so you don’t even need to pay $0.99 at the app store.  Just use what the phone already comes with.

Get in the habit of sending out notes to your team in your manner. Ideas will strike you at odd hours, in odd places.  I didn’t expect to come up with a useful idea at my kids’ swimming lessons but I did.  And it’s awesome to be able to use a smartphone to capture that idea and share it with my team instantly.

Another tip you can use if your employee has a smartphone is to get on the same chat client. During off-hours you might find it easier to chat about quick ideas via instant messenger such as BBM or WhatsApp, rather than email your VA and wait for a reply. Especially in developing countries, those with smartphones are constantly chatting via IM clients. Use it to your advantage to stay in touch.
